Refunds and Cancellations

1. General Policy
Thank you for choosing Cognicampus. We are committed to prioritizing our students' educational outcomes and providing an excellent AI learning experience. This policy outlines the terms and conditions under which refunds and cancellations are processed for our subscription services.
2. Cancellations
You may cancel your Cognicampus subscription (Standard or Pro plan) at any time. Upon cancellation, you will continue to have access to your plan's benefits and interaction quotas until the end of your current billing cycle.
How to Cancel: To cancel your subscription, navigate to Settings > Subscription within your student dashboard and select "Cancel Subscription." Alternatively, you can contact our support team for assistance.
Once your billing cycle ends, your account will automatically downgrade to the Free Plan, and your monthly interaction quota will be reduced accordingly.
3. Refund Eligibility
Due to the immediate access to digital infrastructure and AI intelligence provided upon subscription activation, we generally do not offer refunds for payments that have already been processed.
However, we evaluate refund requests on a case-by-case basis under the following exceptional circumstances:
- Duplicate Charges: If you were charged multiple times for the same subscription period due to a system error.
- Service Unavailability: If our core AI services experience an extended, unforeseen downtime lasting longer than 72 consecutive hours that significantly impairs your ability to study.
- Accidental Subscription: If you accidentally subscribed and submit a refund request within 24 hours of the transaction, provided you have not utilized more than 5% of the interactions allocated to your paid plan.
4. Requesting a Refund
If you believe you meet the criteria for a refund under our exceptional circumstances policy, please submit a formal request within 7 calendar days of the charge in question.
To request a refund, please send an email to hello@cognicampus.com containing:
- Your registered email address
- The transaction ID or Order ID
- A clear explanation of why you are requesting a refund
- Any relevant screenshots or documentation
5. Processing Timeline
Our team will review your refund request and respond within 3 to 5 business days. If your request is approved, the refund will be processed back to your original method of payment.
Please note that depending on your bank or credit card provider, it may take an additional 5 to 10 business days for the refunded amount to legally reflect in your account.
6. Institutional Subscriptions
If your access to Cognicampus is provisioned and paid for by an educational institution, this Refunds & Cancellations policy does not apply to you directly. Any financial grievances must be routed through your institution's administration or designated faculty coordinator according to their distinct enterprise agreement with Cognicampus.
